The Chiang Mai Corporate Retreat in February 2016 was a think tank attended by 45 CEO’s of multi-national companies with delegates arriving on Thursday & departing on Sunday afternoon. The theme of the corporate retreat was “Play” and the backbone “Creativity & Innovation”.

4 Days & 45 CEO’s @ Play in Northern Thailand
With 40 CEO’s descending on Chiang Mai for 4 days to explore “PLAY”, we began with what the desired outcomes were and then rewound to the beginning. The multi-day think tank needed to be entirely seemless from arrival at the airport to departure. The host venue had to offer exclusive seclusion and the program needed to challenge at CEO level whilst also having a practical element and guaranteed actionable take-homes. We also needed tracks for spouses & children, early morning private exercise sessions, a dose of “bleisure” and exceptional F&B in equally exceptional private settings. The challenge was on!
Event Services Provided
A full service event management project planned in Bangkok and executed by 3 principle staff on-site in Chiang Mai. Our services included designing the program to meet the brief, speaker management, venue finding & room block negotiations, menu design and F&B Management to cater for any dietary restriction or preferences, logistics, production, activities & bespoke tours (tailored private tours) & more.
We took the delegates on a journey to explore “Play” in Chiang Mai where they gained insights from innovation and creativity thought leaders before getting practical to innovate & deliver in teams of peers.
ZiZ Asia provided full service event management for this Chiang Mai corporate retreat including Venue Management, Logistics & Transport, Production, Event Entertainment, Collateral, Event Photography & Video Production (including drone), Corporate Gifts, Off-site Activities & Bleisure arrangements. Spouses & children were invited to attend which necessitated the need for additional tracks for both Spouses & Children.
ZiZ Asia undertook all aspects of venue management for the Chiang Mai corporate retreat, including the 5* host hotel, the off-site “Farm-to-Table” alfresco dinner featuring a menu of Thai cuisine made from the farm’s organic produce, the Spouse program and the Children’s program. We also included a very special day to focus on innovation, half spent classroom style (off-site) and half with CEO’s surveying Chiang Mai locals to ultimately propose a new product for the marketplace.
Our venue management responsibilities included arranging in-room check-in, assigning rooms for group conference & breakouts, menu design, alfresco evening venues for Thursday & Friday and a very exclusive Thai dinner on Saturday evening. Plenty of off-site activities were available for Spouses & those not involved in tracks including bespoke furniture tours and action sports while the children were kept busy with tailored play & innovation activities, some off-site.
The chosen theme for the event was “Play” and the focus “Creativity & Innovation”. With the delegates all at CEO level the objective was to use Play as a catalyst for innovation. The event had to have practical application & take home value.
We designed & created a complete collateral portfolio for this Chiang Mai corporate retreat, including digital registration flyers, banners & signage, digital backdrops, themed T-Shirts & baseball caps, unbleached linen reusable & branded tote bags, themed name badges & branded lanyards. A room drop was provided each night with a bespoke gift & a branded agenda for the following day included in the package.
Transport: As attendees arrived at different times throughout the day, round trip Chiang Mai Airport Transfers to the venue were prearranged for each and every delegate based on their arrival and departure flight times. As the program included many different tracks and moving parts we managed a small fleet of minibuses on permanent standby each day with schedules for the following day confirmed the night before.
Accommodation: Delegate accommodation was included in the registration fee for the event and we negotiated special rates and a room block months before the event. All Bangkok staff were accommodated off-site but very close by.
Event Staff: On-site staff from Bangkok comprised 1 Event Manager, 2 event coordinators and 1 van driver. All remaining on-site staff including production, the photography and video teams & transport were provided by our local partners in Chiang Mai.
Equipment Logistics: We dispatched one van, fully loaded with equipment & collateral, from Bangkok who met us in Chiang Mai. The van doubled as a staff van during the course of the event before returning fully laden at the end of the event.
The event moved from indoor venues to outdoor, the host venue to off-site venues and included a farm-to-table alfresco dinner with live bands and entertainment on Friday evening. Crystal clear audio took precedence for the workshop sessions and a production crew supported the alfresco dinner party with full audio and lighting systems. All production and av systems were provided by our partners in Chiang Mai to reduce cost.
Event entertainment was diverse and varied. On the evening of Day 1, the group split into sub groups for campfire chats each hosted by a facilitator. On Day 2, for the off-site alfresco “Farm-to-Table” dinner, we arranged a variety of live bands and also setup a “Nang Wat” (Thai for “Temple Fair”), with very traditional game booths. For the final evening we pulled the stops out at the Lanna dinner, recreating a traditional Thai market of yesteryear with weaving, umbrella painting & more curios, each fully interactive. Attendees could try the craft themselves and keep the products made as mementos.
High priority was placed on event photography and videography. We worked with our local partners in Chiang Mai to ensure that the brief was fulfilled. We also added a drone to the mix for some spectacular aerial shots. Deliverables includes a large gallery of still event photos and a highlights video of the event. Post production was done by our partners in Chiang Mai.
